🎟️ RAFFLE TERMS & CONDITIONS

• One (1) complimentary room rental for a graduation celebration (approximate value: $600).

• Winner is NOT REQUIRED to purchase any food, beverage or catering package!

• Prize is room usage only and does not include any catering, alcohol, decorations, or additional services.

• Winner's room usage is subject to the existing room rental agreement, including all standard terms and policies.

• There are NO HIDDEN FEES
   

Ticket Sales 

• $20 per ticket

• Maximum of 100 tickets will be sold

• Odds of winning depend on total number of tickets sold
   

Minimum Ticket Sales Requirement
A minimum of 40 tickets must be sold for the raffle drawing to take place. If the minimum is not met by Thursday, May 14, the raffle will be canceled and all ticket purchases will be fully refunded within 10 days.
The organizers reserve the right to extend the ticket sales period if necessary.

Drawing

• Winner will be selected at random on Friday, May 15, 2026

• Winner does not need to be present.

• Winner will be notified via phone and email /text and email using the information supplied whn entering the raffle. 
   

Eligibility

• Open to individuals 18 years of age or older and legally eligible to participate in accordance with applicable laws and raffle and room requirements.​

📅 Event Date Selection & Availability

• Winner may select from a limited number of high-value available dates. All dates are subject to availability and will only be offered if not already reserved for other events at the Maynard Elks Lodge. Dates offered will include weekend as well as premium dates. 

• The winner must select and confirm their preferred date within one (1) week of being notified of the award. If the winner does not confirm within this timeframe, the offered dates may be released and made available to other bookings. Extensions to the one-week selection period may be granted with approval from the organizers.

• All date selections are considered final once confirmed and are subject to standard venue scheduling policies and capacity constraints. Exceptions to confirmed dates may be granted at the sole discretion of the organizers, provided the event is rescheduled within the designated eligible event window.

 
📅 Prize Conditions

• • Prize is non-transferable and has no cash value.

• Not eligible for use on existing booked events.

• Event must take place within date range of May 2026 - September* 2026. *September dates may be somewhat limited.

 
🏛️ Event Use Guidelines
General Use

• Access to the function room is the gift.

• Any other requested services are the financial responsibility of the winner

• Event timing (setup, duration, breakdown) will be defined in advance

• Decorations must be approved; no damage to property is permitted

• This prize may be used for private or public events, including craft fairs, ticketed events, or any event involving the sale of tickets or admission fees.

• Use of the facility must comply with all applicable laws and the Lodge's policies. Events including illegal activity, hate speech or conduct inconsistent with the Lodge's values are strictly prohibited. 

• For any event requiring permits, licenses, insurance or public safety personnel (including police or fire detail), the winner must obtain all required approvals in advance and is solerly responsible for all associated costs.
   

🍽️ Food & Catering Options
Option 1: Bring Your Own Food & Beverage (BYO)
Outside food and non-alcoholic beverages are permitted​

Client is responsible for:

• Full cleanup of the space

• Bagging and proper disposal of all trash

Included:

• Access to on-site dumpster for waste disposal

Restrictions:

• Venue plates, glassware, utensils, serving equipment, linens, and napkins are not available for use

🍸 Alcohol & Bar Policy
All alcohol service must comply with venue policies and Massachusetts law

• No outside alcohol is permitted. Alcohol may not be brought into the venue by the winner, guests, or vendors.

• Bartending services must be provided by the venue (additional fee applies).Cas barOptional upgrade: Open bar (beer, wine, and soft drinks only)

🧹 Cleanup & Damages

• Space must be returned to original condition

• All trash must be removed from premises

• Any damages to the facility are the responsibility of the winner. A refundable security deposit will be required. 
   

⚠️ Additional Terms

• Prize may not be transferred, reassigned, or exchanged

• Event must comply with occupancy limits and all applicable regulations in Maynard

• Organizers reserve the right to enforce all rules for safety and compliance

• Failure to comply may result in forfeiture of event privileges
